The Challenge

The studio was managing class registrations, instructor scheduling, student rosters, and payments through manual processes that couldn't scale as they grew. Orders from their e-commerce platform weren't connected to their operational workflows.

What I Built

A full operations management system with an 11-table relational database handling the complete workflow from class proposals through instructor payments. Automated order ingestion from their e-commerce platform processing several hundred orders per month, including variant ID matching, roster generation, and form ingestion. Integrated transactional and operational email templates powering core business communications. Built an interactive documentation site for staff self-service troubleshooting and training.

How It Works

E-commerce orders flow in automatically via webhook. Orders match to classes using variant IDs. Students populate rosters automatically. Instructor payments calculate from class revenue. Form ingestion from customers and students drives class scholarships, memberships, private events, and more. Transactional emails send for key business events. Staff can self-serve troubleshooting through the documentation site.

Results

System runs the studio's core business operations, managing class planning, processing all orders, roster management, and instructor payments. Saved hours per week in manual work. Enabled the organization's expansion by removing operational bottlenecks and providing reliable, documented systems.
