The Challenge

In 2024, the restaurant was reopening in a new space; bar, dining room, a private room for hosting corporate meetings and events, outdoor seating, with no dedicated IT support and nothing to build on. Sound and AV, point-of-sale, internet, and email all needed to be set up from scratch on a compressed opening timeline and a limited budget, by an owner and small team focused on the food and the room, not vendor research. There was no single project to scope, just a growing list of technical decisions that needed someone fluent enough to sort through them, and no one on staff who could.

What We Built

What started as pre-opening tech setup became an ongoing fractional technology partnership. Researched and compared multiple vendors and platforms across categories, from sound systems to reservation software, before recommending what actually fit the business, rather than the first available option. Selected and coordinated sound/AV vendors for a music-forward main space with both streaming and analog (turntable) needs, and separately equipped the private event room for hosting corporate meetings and events. Set up point-of-sale, internet, and Google Workspace, and have administered Workspace ever since, including ongoing QuickBooks support. Built a labor and sales analytics dashboard consolidating POS and payroll data into a real-time view of business health. Stood up an interim digital reservation process on Google Forms while thoroughly researching reservation platform options, eventually migrating the business to OpenTable. Diagnosed and resolved a multi-week email deliverability failure that was silently blocking press outreach, coordinating across two DNS providers and the restaurant's outside web development firm to fix it without disrupting other services.

How It Works

Standing tech office hours and on-call support anchor the relationship, the restaurant reaches out as issues or needs come up, rather than working from a fixed project list. Dashboard and staffing analysis run on their own cadence tied to the business's planning calendar. Larger initiatives (i.e., a new dashboard build, a reservations system, a vendor migration) get scoped and delivered as discrete projects within that same ongoing relationship, rather than requiring a new vendor search each time. Tools get reassessed as the business's needs change rather than left to accumulate; POS, Workspace, and reporting systems are periodically evaluated for fit, not treated as a one-time setup.

Delivered a staffing analysis benchmarking front-of-house coverage against covers-per-hour on high-volume nights, with recommended staffing thresholds now used for scheduling decisions.
Built and launched a business health dashboard consolidating sales, labor, and staffing data for ongoing decision-making.
Migrated reservations from a fully paper-based process to an interim digital system, then guided a full market evaluation of reservation platforms that led to the business adopting OpenTable.
Diagnosed and resolved a mail server authentication failure that had been silently bouncing press outreach, restoring reliable delivery across two separate DNS providers.
Ongoing QuickBooks support, including accountant access and continuity through a Mac-to-PC transition.
